Event dates: 8th–15th October 2026 at the Radisson Hotel, Barbados.
Travel insurance is mandatory and must have been obtained by 8th October 2025 (the Cancellation Longstop Date).
A 20% non-refundable deposit applies to all bookings.
Refunds are available only before 8th October 2025, minus the 20% deposit.
From 9th October 2025 onwards, no refunds will be issued under any circumstances.
Cancellations after this date must be processed via your travel insurance provider.
These Terms form a legally binding agreement between the Customer and the Supplier (Radisson Hotel Barbados), with Soul in the Caribbean acting solely as an intermediary.

Definitions

“Cancellation Longstop Date” – 8th October 2025, being one year prior to the start of the Trip.
“Contract” – The binding agreement between you and the Supplier for your Trip.
“Deposit” – The non-refundable 20% portion of the total booking value.
“Platform” – The website or booking system operated by Soul in the Caribbean.
“Service” – The reservation and payment facilitation services provided by Soul in the Caribbean.
“Soul in the Caribbean” / “we” / “us” / “our” – Soul in the Caribbean Ltd (Company No. 13040390).
“Soul Network” – A membership-based social and entertainment club, with no legal responsibility under this contract.
“Supplier” – The Radisson Hotel Barbados and any other third-party providers of accommodation, excursions, or entertainment.
“Trip” – The Soul in the Caribbean holiday taking place from 8–15 October 2026.
“Party Leader” – The nominated person responsible for managing group payments and communications.

1. Basis of Contract

1.1 Soul in the Caribbean acts solely as an intermediary introducing customers to the Supplier.
1.2 Your accommodation contract is directly with The Radisson Hotel Barbados.
1.3 All marketing materials are for descriptive purposes only.
1.4 These Terms take precedence over any other verbal or implied arrangements.

2. Booking, Payments, and Refunds

2.1 Deposit and Refund Terms

2.1.1 A 20% non-refundable deposit applies to every booking.
2.1.2 This includes the initial deposit of £50 per person / £100 per room paid in December 2024.
2.1.3 The 20% deposit applies to the total room cost, whether single or shared occupancy.
2.1.4 Deposits and all instalments up to 20% of the booking value are non-refundable.

2.2.1 The total balance is divided into the instalments above.
2.2.2 Once the 20% deposit threshold has been reached, it becomes non-refundable.

2.3 Refund Policy

2.3.1 Bookings cancelled on or before 8th October 2025 will receive a refund minus the 20% non-refundable deposit.
2.3.2 Cancellations made after 8th October 2025 will receive no refund for any reason.
2.3.3 Refunds will not be issued for changes of mind, visa issues, or lack of travel insurance.
2.3.4 Refunds after this date must be claimed through your travel insurance provider.

3. Travel Insurance

3.1 Travel insurance is mandatory for all travellers and must have been obtained by 8th October 2025.
3.2 The policy must include full cancellation cover for medical, personal, or other unforeseen circumstances.
3.3 Insurance will not cover voluntary cancellations.
3.4 Proof of valid travel insurance may be requested at any time.
3.5 Customers without valid travel insurance accept full liability for any cancellations, losses, or non-attendance.

4. Party Leaders and Group Bookings

4.1 Each group must appoint a Party Leader responsible for communication and payments.
4.2 All instalments must be paid to the Party Leader, who then remits the total to Soul in the Caribbean.
4.3 The Party Leader may transfer responsibility to another group member with written consent.
4.4 Late or missed payments may result in cancellation and loss of deposits.
4.5 Soul in the Caribbean is not responsible for any internal group payment disputes.

5. Supplier and Accommodation

5.1 Your contract for accommodation is directly with The Radisson Hotel Barbados.
5.2 Bookings cannot be altered on arrival.
5.3 Any pre-travel change requests must be approved by the Supplier and may incur fees.
5.4 Wristbands must be worn at all times for event access; lost wristbands incur a $40 USD replacement charge.

6. Entertainment and Excursions

6.1 Musical entertainment (e.g. pool parties, beach parties, club nights) is included free of charge for registered guests.
6.2 Optional excursions such as boat parties and sightseeing tours are charged separately.
6.3 All entertainment schedules are subject to change without notice.

7. Cancellation Policy

7.1 Cancellation on or before 8th October 2025 – refund of all instalments paid less the 20% deposit.
7.2 Cancellation after 8th October 2025 – no refunds will be provided.
7.3 All cancellations must be made in writing.
7.4 A letter confirming non-attendance will be issued to support insurance claims.
7.5 If a guest in shared accommodation cancels, remaining guests must pay the adjusted total room rate.
7.6 From 9th October 2025 onwards, all refund requests must be made through your travel insurance provider.

8. Force Majeure (Unforeseen Events)

8.1 Soul in the Caribbean and the Supplier are not liable for cancellations due to events beyond reasonable control, including:

Natural disasters
Flight cancellations
Government restrictions or border closures
Strikes or industrial action
Pandemics or health emergencies
Terrorism or war
8.2 In such cases, the event will be postponed to 8th–15th October 2027, and all bookings will automatically transfer to the new date.
8.3 Refunds in such cases will not be issued, but travel insurance claims can be supported with documentation.

9. Liability

9.1 Soul in the Caribbean acts only as a broker and intermediary, not as a tour operator.
9.2 Your contract for accommodation is directly with The Radisson Hotel Barbados.
9.3 Soul in the Caribbean is not responsible for:

Hotel or airline failures
Losses from transport disruption
Acts of negligence by third parties
9.4 We are not liable for any indirect or consequential losses.
9.5 Nothing in these Terms excludes liability for death or personal injury caused by negligence.

10. General Provisions

10.1 These Terms are governed by the laws of England and Wales.
10.2 Legal proceedings may only be brought in the English courts.
10.3 No term of this agreement confers rights on any third party.
10.4 If any clause is found unenforceable, the remaining clauses remain valid.
10.5 All correspondence must be in writing and acknowledged by Soul in the Caribbean.
10.6 We reserve the right to amend these Terms if required by law or to ensure clarity.

11. Acknowledgement

By booking onto the Soul in the Caribbean – Barbados 2026 event, you confirm that you:

Have read, understood, and accepted these Terms and Conditions;
Understand that the holiday becomes non-refundable after 8th October 2025;
Have obtained and maintained valid travel insurance;
Accept that Soul in the Caribbean acts solely as an intermediary;
Acknowledge that your contract for accommodation is directly with The Radisson Hotel Barbados.
